October 27, 2005 CONFERENCE CALLON THE CALL: PRATHER JOE& EV, PARSONS, BRAKELEY, DAVIDSON, McGINITY, SCASSERRA, KIMBALL, BERTON, REYNOLDS, MENNA, NEWLIN, BLYLER, PICKENS, and MANNING REGISTRATION: Jay updated his report of earlier in the day. We now have registered 13 classmates and total persons registered are now 24. It was noted by one member that comparing "who's coming" and the registrations to date we should expect a minimum of 94 classmates to register. COSTUMES: Ev reported that the ladies have decided that the scarf size would be 22" x 22". The consensus of the committee (COC) is that if we use a design developed for us by the supplier Aztec we will not shop the price with other vendors because they did the design work, and because Aztec's prices seem to be competitive. Justin will ask Aztec to give us a modification of their design with the solid orange center. We wish to see what a black center with orange stripes, ala the tie with that design. Ev will discuss with the ladies who are on the sub-committee. Men's tie designs, which will be sold as an option, and not to be worn in the P-rade, were discussed. There was support for #3 and #4. It was suggested that the design #4 would be better if the numerals 1 9 6 & 1 were vertical rather lying on an angle. Justin will resolve the multi-size issue of men's/women's/kids T and polo shirts since we do not want to over-order. Prather said there may be some leftover kid's T's from previous reunions that could possibly be used. Ev & Justin received a message that there are multiple bolts of our 25th reunion material at Woji's company. Good news! ROOMS-BEDS: Richard Manning reported that he has booked, or reserved, a total of 296 beds. In that total we need to allocate 12 beds for satellite classes and 10+ for our undergraduate crew. HEADQUARTERS: VJ and Bob Pickens reported that they have hired undergraduate co-chairs Christine Constantino and Colin McDonnell. They in turn have hired 9 more undergraduates for the crew and will hire one additional undergraduate. VJ and Bob also reported that they will be able to keep the meals within the budget. VJ and Bob have reviewed potential tent and Holder courtyard layouts with Charlie Krank of the University and happy that they can work out a layout that will work for us. SATELLITES: Lee Blyler reported that he had emailed satellite classes '59, '60, '62 and '63 with the offer to join for a fee of $800 which includes beer and sodas for the weekend and lunch on Saturday. Each satellite class will be offered 3 beds at $95 each. Lee will follow up with another email in another month, or so. MAILINGS: the 1st mailing went out on the 27th (BTW I received mine on the 28th-JEP). We will plan a second mailing when we evaluate the response to the first mailing. P-RADE: George Brakeley reported that he has booked the Mummers band "DUFFY" for $2,200 plus expenses for a bus, lunch Saturday, and changing room for 42. We will have engineer's caps to pass out, signs, and some train mock ups to put over the class golf carts. ALUMNI FACULTY FORUMS: Spencer Reynolds solicited ideas for forums and for the names of classmates who might participate. Some of the names that should be under consideration are: Gil Omenn, Peter Georgescu, Ned Spurgeon, and Cookie Krongard. OTHER: we have scheduled the class picture for 12:30pm on Saturday on Blair steps and have requested Richardson at 6:30pm on Saturday for a class memorial service. 7/28/05 Meeting Minutes AgendaAttendees: The Committee met via Conference Call. The Committee is now using the Princeton conference service which is more economical. We began with VJ Menna's report on Headquarters: Big news is that we have been assigned to Holder Hall for our Reunions Headquarters. Announcement met mixed reviews: a real plus for the proximity to town and to the P-rade starting point, and Jim Blair is thrilled!. The noise factor is a bit of a minus. There is a bit of nostalgia towards Holder as 3 successful 61 Reunions have been held at that site. Housing: due to the noise factor there may be more people wanting off
site rooms than there would if we were at Forbes College. Housing
Committee has secured blocks of rooms at several Hotels on Route 1.
Rooms about $200 per night. Holder rooms will be $75 a bed per weekend.
The Seminary is also a possibility and we can have 40 rooms. We can get
refunds if we bail out by April 1st. Meals: Jay brought up the issue of children's portions. We should not have to pay full price for children At our last major Reunion paid the adult price for kids meals. We should try this time to secure reduced rates for children. Team agreed and Joe P. suggested we get an itemized list of all prices per meal. Budget: Jay needs people to review the Budget and let him know of any changes or questions. Need to approve the Budget. Mailing: Ted is trying to finalize the first mailing and needs
information. We need to close on some Stationary: Can the orange on the stationary be brightened? It's a bit dull. Ladies Costumes- Ev-Discussion at last meeting by the Ladies Committee: Since women want a style most complimentary to their figures, fabric will be sent to those wishing a new costume and they can have their costume made according to their wishes: pants, capris, skirts, shorts or dresses. The Committee was supportive of this decision. P-Rade: George-Looking at bands, investigating the pennants on sticks seen and liked at this year's P-rade. Engineers' hats ordered for $350. Great news about our train. George and Carol Wojie have worked out a way to decorate 3 golf carts to look like an engine and two cars. Carol is lending one she is buying and others we can rent from the University. We want to win that prize!! Ties: Justin- Do we want to use our old ties? Our only tie has the logo
from the 25th and there was a concern that that might not be appropriate
for our 45th. The logo on the tie could be an updated version of the
tiger with stripes that are a muted "1961" Will look for
new ones. Reunions web-site. Joe congratulated Len Berton on the great job he has
done with the Next Meeting: Joe will schedule a follow-up meeting, via Conference Call, as information comes in and decisions are needed. Watch for announcement.
5/3/05 Meeting MinutesAttendees: The Team met at Carol's House in Princeton, some in person some via Teleconference. We began the meeting with discussion on the P-rade: Band-Everyone likes the idea of the Mummers. Vince has a good contact
and will follow up with them. Communications: John Graham-Groups/Associations Let him know what groups you could support: Nassoons, Clubs, NROTC, etc. Each person should contact their group personally. Reminders will be provided. Len Berton will be happy to send these out via eMail and Web site. Mailings: Ted Newlin created the draft for the first mailing. It was well received. Costumes: Black golf shirts were chosen over the gray golf shirts or white dress shirts. Black shirts with the 45th logo. Once the design is chosen then we can work with the designer on the colors. Stationary: We need to order soon so we need to close on the design. Ladies: The Ladies Committee will meet soon via Conference call and close on the plan. It was decided later that evening that the design of the dress, skirt, or pants can be left to the Lady, due to different taste and shapes, and because many of the women already have their Costume from earlier reunions. So we will poll the women and send them the material they need and let them have their own costume made. This will also reduce expenses, helping the Budget as there was no previous line item for Ladies Costumes. Band: Sue reported for Jim who was unable to attend. A strong consideration is JJ Kaiser's Band, but don't worry Jim will take care of this! Dinner: Vince will look into Forbes College. Maps: Kenny will contact the May guy. Lodging: 4 weeks after this coming Reunions we will know if we got the Princeton Inn. We should visit the site to understand what it is like now. It looks positive that we will get it. Additional Friday Events (Saturday is way too busy for anything extra): Great interest for a trip to the Sculpture Garden with Lunch included at Rats. Mary Pickens will call to reserve spots. Looks like about 162 spouses. History of the 40th, 50% were from outside the metro areas. Brakeley and McGinity will work on Tennis and Golf. Golf can be done through Friends of Princeton. We will probably need 2 rounds. Faculty Alumni Forum: Jim Kellogg is working on this. Next Meeting: At the 44th-May 27th. Don't forget Dinner at Blair's!

Organization MeetingJay Parsons - 1/18/05 To: 1961 Class Officers and Reunion Committee Re: Reunions 2006 Planning Meeting From: Jay Parsons Dated: 1/18/2005 This memo attempts to summarize the main points made by Adrienne Rubin Saturday, January 15, 2005. Resources: Alumni Council Committee on Reunions: has attendance statistics, past financial statements and such. On-Campus Committee on Reunions: (I don’t recall what use it is.) Alumni Council Staff: has a conference line available for telephonic meetings. Reunions Handbook: http://alumni.princeton.edu/~reunions/handbook TigerNet: (?) Early needs: Give Adrienne the name and number of someone willing to receive calls from student singing groups and others soliciting employment. Check out payroll contract forms and such at the reunions web site. Coordinate dates of reunion mailings with the dues incentive program. Major responsibilities (may be shared, of course): Class officers: Coordinate communications, use of web site Alumni-Faculty Forums: Best assigned to a person willing to make cold calls. Someone who knows class achievers is good. Ideally should be able to attend some forums in June ’05 to check them out. Artwork: Logo, which should work in black and white as well as color. Order stationery and put logo and theme on everything including website. Associates: Programs for and welcoming of widows. Beverages: Obtain licenses, determine electrical requirements. Adrienne suggests a grad student to supervise bar to reduce exposure of students to demands for free drinks from their classmates. Children’s programs: Kids 3-12 may use Tiger Camp Saturday evening. Student crew members are not allowed to babysit. Committee member in charge of children’s activities should probably be local so as to be able to visit prospective suppliers. Community Service: Some classes perform a community-service project as part of their reunion. This may bring new attendance and will involve the Theme, Program and Publicity chairs if not Transportation. No fundraising is allowed at reunions. Costumes: Accessorize; be aware of storage needs. Entertainment: Saturday evening entertainment should start around 10 p.m., after the fireworks. Watch out for contracts calling for separate rooms for all band members for four nights (or even dressing rooms beyond those available.) Too-loud music that cannot be escaped is the single largest complaint about reunions. Finance: Reunion funds must be kept separate from class funds for tax reasons. Reunion can give excess to class but cannot receive funds from class. Determine breakeven attendance soon. Some classes have held drawings among fees (or $100 deposits) paid by September 30; winner gets free reunion. Food: No one comes to reunions for the great food. Caterers must be insured and the University Dining Service exerts a monopoly over most available sites. Remember off-site expenses in budget. HQ: Any tents beyond a large tent, a bar and a registration tent are at our expense. Chair should check out possible sites at ’05 reunion. We get 3 golf carts only, and student drivers must pass University van-certification test. Housing: No accountant as chair as job must largely be done when rooms are assigned in April (May for grad school). Chair should have thick skin. Beds are required for student crew, 3 for each satellite class and one for each person booked in, $75 per bed. Don’t let students lose the master key because rekeying whole dorm is very expensive. Memorial Service: Invite the bereaved, especially those of last 5 years. Don’t make the service part of a meal. P-Rade: Chair should provide text for the review-stand narrator. Book bands in the fall to get good ones. Program: Chair should prepare a preliminary program for mailing and another for distribution on site. Publicity/Promotion: Mail early, not too many E-mails. Do not use independent mailing service until AC staff has seen the materials to be mailed. Consider mention of classes of 1761 and 1861 for added interest. Registration: Send confirmations; manage sign-in ledger. Consider plan for monthly payments. Satellites: Negotiate or clarify fees, deadline for payment, meals furnished or for purchase. Some classes want their members admitted only if they have paid class dues; obtain list. Student crew: Write job descriptions. Avoid hiring seniors to extent possible. Technology: Coordinate use of web site. Theme: Settle it early. Transportation: See list of hotels and schedule of buses; add special buses as needed. How many golf carts needed for P-rade? Yearbook: If having, appoint a good nagger as chair. Other: Adrienne said that if there is a thunderstorm the University will require evacuation of all tents. Where the class and guests are supposed to go was not discussed but would seem to be an important issue. Into the dorm basements among the toilets? Reunion Wi-Fi internet access will be available to all for free without passwords.
